1. Who we are
This site is run by Bicubix Lab, a brand of Arri Solutions LLC, a company registered in Delaware (USA), 16192 Coastal Highway, Lewes, Delaware 19958, USA. You can write to us at info@bicubix.com.
We are the controller of the personal data described below.
2. This website
The site is a single page. It uses no cookies, no analytics or profiling tools, it contains no forms to fill in and it saves nothing in your browser. If you do not write to us, we receive nothing of yours.
Our hosting provider, Netlify, processes ordinary server logs (IP address, browser type, page requested) to run the site and keep it secure.
3. If you write to Sofia on WhatsApp
Sofia is our AI receptionist. When you write to her we receive your phone number, your name if you give it, the content of your messages, including voice notes, photos and documents you send, and whatever you tell us about your company.
What we do with it:
- the messages are sent to an artificial intelligence model that generates the reply;
- the conversation is stored, because Sofia needs it to keep track of the thread and to recognise you if you write again;
- if you book an appointment, the date and your name go into our calendar;
- the essential details (name, number, company, what you discussed) go into our contact register;
- we get a notification when a message or a booking arrives.
The content of conversations is not used to train models and is not passed to third parties for marketing purposes.
4. Why we do it and on what legal basis
To reply to you, understand what you need and book an appointment: steps taken at your request prior to entering into a contract, Article 6(1)(b) GDPR.
To keep a record of commercial contacts and to run and secure the service: our legitimate interest, Article 6(1)(f) GDPR.
5. Who processes the data on our behalf
- Meta Platforms: WhatsApp is the channel the conversation travels on.
- 360dialog (Germany): the official WhatsApp Business provider through which we receive and send messages.
- Make.com (European Union): the automation platform that runs Sofia and where the conversation is stored.
- Anthropic (USA): the artificial intelligence model that generates the replies.
- Google (Google Workspace): our email, the appointment calendar and the sheets holding the contact register and the backup of conversations.
- Netlify (USA): site hosting.
- CallMeBot: the service that delivers our internal notifications.
6. Transfers outside the European Union
Some providers are located in the United States, and Arri Solutions LLC is itself a US company. When personal data leaves the European Economic Area we rely on appropriate safeguards, such as the European Union Standard Contractual Clauses or equivalent frameworks offered by the provider.
7. How long we keep it
We keep the conversation and the contact details for 24 months from the last message, then we delete them. Appointments stay in the calendar for as long as we need to manage them. You can ask for deletion at any time, including earlier.
8. Your rights
You have the right of access, rectification, erasure, restriction and objection to processing, and the right to data portability. You can exercise them by writing to info@bicubix.com, and we reply within one month.
You can also lodge a complaint with a supervisory authority. In Italy this is the Garante per la protezione dei dati personali.
9. Changes
We may update this policy over time. The date at the top shows the last revision.
